OVERVIEW of Position
- Lead volunteer teams to stage & meet goals of Supporter & Fundraising events & thank you team as directed by Programs Lead.
- Assist Communications & Development Lead in ideation for events & thank you materials, recruiting & scheduling volunteers, soliciting donations, securing venues, set up, clean up & post-event review session.
- Manages donation goals, events calendar & activity tracking. Oversees supporter thank you team.
- Understands & follows established guidelines in staging events; working with volunteers, solicitation guidelines, etc. Oversees team to show gratitude & send thank yous in a professional & timely manner.
- Fully document all actions & partner/client support into approved tracking systems.
Position Responsibilities
- Position has overall responsibility for approximately 6 annual fundraising events, supporting events of differing sizes & complexity.
- Assist in developing event goals, themes, venues, & schedules
- Develop & maintain spreadsheet of donations, volunteers, venues available, outlets for decorations, food, etc
- Develop list of volunteers available to serve for both events & thank you tasks.
- Manage event schedules, goals, & milestones – lead monthly thank you tasks.
- Become familiar with & maintain proficiency in agreed tracking, auction, & other programs to fully document all conversations & actions.
- Maintain confidentiality in interactions, where appropriate, escalating identified concerns or issues quickly to Communications & Development Lead.
- Other duties as assigned by Programs Lead

- Comfortable talking & working directly with volunteers, other team members, business & supporter communities.
- Strong time management, communication & people skills, working with the entire team to support events & regularly thank supporters.
- Strong sense of satisfaction from meeting event donations goals & recognizing our business partners.
- Ability to set goals & milestones; comfortable managing multiple tasks & volunteers with efficiency & accountability.
- Computer systems proficiency, ability to learn & support existing system for tracking all resources, conversations & actions.
- Comfortable assessing situations that may need to be escalated; follow the defined escalation process.
- Flexibility in assigning event support tasks as each event may have differing time commitment or activities required. Thank you team to respond to donations of any kind quickly.
- Willingness to cover all event tasks in support of Programs Lead.
Relationships Interactions
- Works directly with business partners, event volunteers, Programs Lead, Print & Design Lead, & other team members.
Time Commitment
- 4 – 6 hours per week during planning & scheduling phases, may require more time commitment leading up to & during week of events. Develop recognition program to cultivate relationships & schedule for thank you team, to assure all donations receive follow up & cards quickly. Larger events will naturally require more time commitment.
